How to review a portfolio?

General information

The portfolio is a way for PhD candidates to:

  1. Track the PhD candidates' progress and view registered hours.
  2. Add new training activities.

It is therefore an overview of all the activities and courses that a PhD candidate has taken, which is reviewed by the first co-promotor and the Graduate School.

You can add new activities in Hora Finita in the Portfolio.

Where can I find the portfolio of my PhD candidate?

Option 1: Training and professionalization

On the right hand side of the your PhD candidate's dashboard you will find upcoming training activities underneath ‘Training and professionalization.

  1. Click on 'Open training overview page' to go to an overview page containing all the courses and activities.

Option 2: Research phase tab

You can navigate to the training activities by:

  1. First clicking on the 'Progress' tab.
  2. Then clicking on the 'Training activities' tab.

 

How do I add a new activities to a Portfolio?

Please note that a PhD candidate should take the lead here.

  1. Log in to Hora Finita and navigate to the Training activities
  2. Click on the 'New' button.
  3. This will take you to the create activity page.

Search for the activity in the catalog or specify an activity yourself using with one of the activity types.

Upon selecting a course certain information will be automatically filled in. Other information must be filled in manually.

Select a start date and a finishing date.

You can use the pop up calendar to select a start and end date by clicking on the calendar icon.

The number of hours for the training activity are usually filled in automatically.

If the number of hours are not automatically filled in, enter it yourself.

You can attach documents by pressing the 'Browse' button. Alternatively you can drag and drop the file into the drag-&-drop box on the create activity page.

Select the correct file in your file explorer and click on the 'Open' button.

Click on the 'Save' button at the bottom of the page in order to save the activity. After this you will receive the following message:

The first co-promotor of the PhD candidate will approve or reject the training activities.

How do I review training activities?

Note that your secretary is also able to review training activities.

At the end of the PhD project, the PhD candidate request the Graduate School to approve the portfolio. This is needed to obtain a Graduate School certificate.

Before the portfolio can be reviewed, all training activities needs to be approved by the supervisor. Furthermore, the total numbers of hours spent on training activities has to meet the number of hours needed to obtain a certificate of the Graduate School.

Click on the right training activity to open and review the activity.

You can select more activities by using the selection checklist on the left side.

After you marked the assessment and you decide you approve the activity, you can add a comment under 'Approve'.

You can approve or reject the activity by using the buttons below.

Note that your PhD candidate won't receive an email informing them about the results.

After approving/rejecting the activity you will receive the following message:

After the activity is approved, the Graduate School will get an email informing them with the result.
