What is an interview?

Certain interviews have results associated with them, i.e. go/no go.

General information

Interviews are moments of supervision used to monitor and evaluate the progress of a PhD candidate's PhD project during the research phase. Periodic interviews are automatically created by Hora Finita after the PhD candidate's registration has been approved.There may be interviews scheduled at the end of year 2, 3 and 4. Furthermore there is an introduction meeting as well as a go/no go meeting.

An exit interview is rolled out after graduation.

In order not to lose sight of the PhD student and/or to facilitate other types of processes, various interview cycles are used. To avoid losing sight of the progress of the PhD project, interviews can also be planned after PhD contract has expired.

Certain interviews have an accompanying result (go/no go) filled in by the PhD candidate's supervisor.

Where can I find a PhD candidates interview?

1. Navigate to the right PhD project

2. Click on the 'Milestones' button at the bottom of the page

Here is an overview of the interviews

1. You can add a new interview by using the 'New' button.

2. You only use the button 'Add cycle interviews' if the start date of a PhD track has changed. The milestone dates are automatically created based on the start date of a PhD track, but if this date changes, the interview dates will not be automatically updated. You can fix the dates by deleting all upcoming interviews, and clicking on the 'Add interview cycle' button. If an interview has already taken place, do not delete that interview!

3. If you want to delete an interview, select the interview and click on the 'Delete' button. It is possible to select and delete multiple interviews.

4. If you want to see a progress rapport, click the 'Report' button.

Reminder email

Before the interview takes place the PhD candidate will receive a reminder email about the upcoming interview. The email will contain information about the content and procedures of the interview.

Deadline

Each interview has an deadline. A supervisor or Graduate School are allowed to adjust the deadline date of the Go / No Go interview. Once the interview has taken place, you cannot change the deadline. You will receive an reminder e-mail two weeks before the deadline.

Questionnaires

Accompanying interviews are questionnaire that must be filled in, in order to pass the interview. Questionnaires can be found in the interview page to which they belong or under the 'Questionnaire' tab in the dashboard.

Reminders will be sent via email informing the supervisor or PhD candidate about upcoming questionnaires that they are required to fill in.

Interviews

To accompany an interview Graduate Schools can request that a PhD candidate schedule an interview with the PhD supervisors. After a date has been set by the participants it can be filled in on the interview page.

These dates are agreed upon by participants outside of Hora Finita and can then be added to the interviews page.

Attachments

Both PhD candidates and PhD supervisors can attach documents to an interview such as a TSP.

How do I set the interview date for an interview?

Navigate to the correct interview.

In the 'date' section, enter the desired date.

You can also use the calendar icon.

Press the 'Save' button at the bottom of the page.

How to add participants to an interview?

Log in to Hora Finita and navigate to the interview page. In the center left of the page is the section where you can add participant.

Step 1: Click on 'Add participant'

Step 2: Type the surname into the search bar

Step 3: Select the participant:

Search for the participant you wish to add by typing their surname in the search bar, any matches will be shown in the overview. Select the correct participant.

Step 4: Participant role

The person and interview will be automatically filled in.

Click on the drop down menu 'participant role' and select the appropriate role for the participant.

Step 5: Click on 'Add participant'

All added participants will be visible in the participants section of the interview.

You can edit or delete participants from a interview using the 'edit' or 'delete' buttons.

Interview - Introduction Meeting Graduate School

At the start of a PhD project, an introduction meeting will be scheduled with a representative of the Graduate School. Sometimes these meetings are together with a few other PhD candidates.

If this interview has taken place, you can change the result to 'Done' and tick the 'discussion taken place' box.

Scroll down to the bottom of the page. Click on:

  1. 'Save' to save and go back to the previous page.
  2. 'Save' to save and stay on the page.
  3. 'Delete' to delete the interview.
