What is an interview?
General information
Interviews are moments of supervision, used to monitor and evaluate the progress of a PhD project. Interview pages are created automatically in Hora Finita after the registration of the PhD candidate has been approved. An overview of the interviews can be found underneath 'Milestones' in the PhD project. Hora Finita has different types of interviews, such as the 'Introduction meeting Graduate School', the Go/NoGo (RA) meeting and Annual meetings.
On the interview pages the result of the interview needs to be entered by the supervisor (except for the introduction meeting of the graduate school).
In order to monitor the progress of a PhD project, interviews can also be scheduled after the PhD contract has expired.
An exit interview can be scheduled after graduation.
The graduate school can edit, add and delete interviews in Hora Finita. The supervisor can do this as well and is responsible for the completion of the interviews (except for the introduction meeting by the graduate school).

Where can I find the interviews of a PhD candidate?

1. Go to PhD projects > PhD projects > click on the PhD project of the PhD candidate

2. Go to Navigation at the right side of the screen
3. Click on Milestones
- Click on the interview if you want to see the interview page.
- Click on New if you want to add an interview.
- The button Add cycle interviews should only be used if the start date of a PhD project has changed. The dates of the interviews are created automatically, based on the start date of the PhD project. If the start date of the PhD project changes in Hora Finita, the dates of the initial interviews do not change. You can delete upcoming interviews (please do not delete interviews that already took place). Then you can add new interviews by clicking this button.
- If you want to delete an interview, check the box of the corresponding interview and click on Delete.
- If you want to see or print a progress overview of the interviews, click on Report.
- Click on Back or PhD project to return to the PhD project page.
Deadlines
Each interview has a deadline. The deadlines can be found on the Progress interviews overview (Milestones). Reminder emails about the interview will be sent to the supervisor and the PhD candidate, based on the deadline.
Supervisors and the graduate school are allowed to change the deadline of the Go/NoGo (RA) interview, on the interview page. Please note that the Go/NoGo (RA) interview should take place at least 8 and no more than 15 months after the start date of the PhD project.
Go/NoGo (RA)
The Go/NoGo interview is a meeting with the supervisor(s) and the PhD candidate, in which the PhD candidate is assessed on elements related to the performance as a PhD candidate. The interview has to take place at least 8 and no more than 15 months after the PhD candidate has started with the PhD project. If the result of the interview is a 'Go', the PhD candidate can finalize the PhD project. If the outcome is a 'NoGo', the PhD candidate is not allowed to continue.
After the interview has taken place, the supervisor has to submit the result of the interview in Hora Finita. A questionnaire is attached to the interview page. The supervisor has to complete the questionnaire, before the result can be submitted.
After submission, the first supervisor has to approve the outcome, followed by the chair holder.
If the PhD candidate is employed at Wageningen University, the Go/NoGo interview is called Go/NoGo RA. RA means Research Assistant. After the chair holder has approved the positive outcome of a Go/NoGo RA, the HR department will be notified automatically about the extension of the contract.
After the Go/NoGo (RA) milestone is finalized, the milestone 'Follow up Go/NoGo' will be created automatically. The PhD candidate will receive an email asking them to fill in the questionnaire 'Acknowledgement of receipt Go/NoGo'. With this form, the PhD candidate informs the graduate school whether they agree or disagree with the decision taken. After the PhD candidate has submitted the form, the 'Follow up Go/NoGo' is completed.
How to edit and complete the interview 'Introduction Meeting Graduate School'?
At the start of a PhD project, the graduate school can organise an introduction meeting for the new PhD candidate. The date and time of the meeting are agreed on outside Hora Finita. The graduate school will enter the information about the meeting in Hora Finita.
1. Go to the Milestones of the PhD project > click on the interview Introduction Meeting Graduate School
2. Edit or enter the information, such as the date, time and location of the interview.
3. Click on one of the Save buttons.
4. After the interview has taken place, check the box 'has taken place' and select the Result 'Done'

5. Click on one of the Save buttons. The check mark on the PhD checklist has now turned green and the date of the interview is shown in the column 'executed':
