How to book the Educational Media Studios

Are you ready to record your knowledge clip, podcast, or other educational media production at WUR? This article guides you through the booking process step by step. From choosing a time slot to receiving your confirmation email. You’ll also find important information about metadata, PowerPoint templates, and our booking policies.

Have you already had your intake interview? You must complete an intake interview before booking a studio. Contact us at [email protected] or book directly to schedule your intake interview. Only after the interview, and once you are fully prepared, you can reserve our recording facilities.

Studio Booking Page

  1. Go to EduMedia Studio booking page
  2. Choose a service
  1. Choose an available timeslot

The system will jump to the first available date

  1. Provide your personal information and information about the recording session.

In case you are not the presenter of the session, make sure the information of the presenter is provided. This is needed in case of cancellation of the session.

  1. Click "Make Reservation" when you're done providing your personal information

Now you will get a confirmation screen with additional info. You will also get the option to modify your reservation.

Confirmation email

If needed, a session supporter will be assigned automatically and you will receive a confirmation email. In this email you'll find additional information about the service you requested. If you are not the presenter of this reservation, make sure you forward this email to that person. It provides you with an attachment called R[xxxxxx].ics which you can open (doubleclick) and add this reservation to your own (or someone else's) calendar. You can also find options to modify or cancel your reservation. That is why we recommend you to keep this conformation email!

Metadata & PowerPoint template

In the confirmation email you will also be asked to deliver the metadata for every recording you are planning to record during the reserved time slot. You can do that via the Studioclip Portal. It is needed to publish your recording and to make it searchable within our video delivery system.

Booking policies

You can book a recording with 13 days minimal lead time.

You can book a recording maximum 20 weeks ahead.

You can cancel a recording minimal 48 hours before the event. After that you need to call the assigned session supporter

Reminder

We will also send you a reminder email three days prior to your recording, so you can make sure you are all set up, prepared and ready for making a great recording!
