What is a progress and development meeting?

General information

For all PhD candidates, a cycle of annual Progress & Development Meetings (Let’s Talk) is automatically generated in Hora Finita, based on the start date of the PhD programme. These meetings are to discuss the progress of the PhD project, vitality aspects (e.g., work-life balance, working environment), and the development of the PhD candidate, including future career perspectives.

Schedule the progress and development meeting

One month before the deadline of the progress and development meeting, a Hora Finita email is automatically sent as a reminder. This email, which has also been sent to the PhD candidate, will include details about the meeting and a link to set a final date in Hora Finita. By entering a date, time, and location, the dashboard in Hora Finita will update the overview of upcoming meetings. Make sure you also tick “participants have approved the date”. Where can I find the progress and development meeting interviews?

Log in to Hora Finita and you will find an overview of all upcoming interviews (in the next three months) on your dashboard. Click on a meeting to view its details.

An alternative way is to click on the PhD-icon. On the next page, you'll see a list of all Progress interviews on the right side of the PhD dashboard.

Finalizing the interview

The PhD candidate is responsible for creating an interview report and uploading it to Hora Finita. Subsequently, an approval process must be completed. This process is initiated after the interview has been submitted by the PhD candidate.

As a supervisor, you also have the option to complete and submit the interview. This will initiate the approval process. Follow the steps below.

  1. Enter the result: Done
  2. Upload the report of the meeting
  3. Click 'Submit interview'

After submission, the PhD candidate will be invited by email to approve the submitted interview report.

Approval of the interview

As part of the approval process, both the first supervisor and the PhD candidate indicate that they agree with the content of the report. First, the PhD candidate will receive by email the invitation to approve (i.e.Request to assess the interview ‘Progress and development meeting’). After the PhD has carried out the approval, the approval email is sent to the first supervisor. This email contains a link that will take you to the approval page. Please follow the next steps:

  1. Select Withhold approval or Approved
  2. Click Submit

After submission, the PhD candidate will be informed of the result and, if approved, this will also be visible on the PhD checklist. In the case of Withhold approval, the submission process starts again with the PhD candidate.

Please note: The result of the approval process will only be emailed to the person who initiated the process.
