How to approve a portfolio request by the PhD candidate? (NEW)

General information

This manual describes the steps for approving the PhD portfolio request of the PhD candidate. This request is the first step in the approval process for assessing the individual training activities in the portfolio. Depending on the current progress of the PhD candidate's PhD trajectory, different procedures are possible.

  1. The PhD candidate has registered all individual training activities in Hora Finita (new procedure since April 2026).
  2. The PhD candidate has compiled all training activities in one Final List document and is using the Certificate Request application.
  3. The PhD candidate is following the procedure agreed with the graduate school and is listing the training activities outside Hora Finita. There is no approval process involved in Hora Finita.

The procedure to be followed is determined by mutual agreement between the graduate school and the PhD candidate.

After the approval of the portfolio by the graduate school, the PhD candidate will obtain a certificate.

How to review the portfolio of my PhD candidate?

To start the approval process, the PhD candidate selects “Request a review by your graduate school” in Hora Finita. As the first supervisor, you will receive an email requesting your approval of this request. This email contains a link to a task on your dashboard.

1. Click on the link in the email you received, or click on the task on your Hora Finita dashboard

2. Check the training activities

3. If applicable, enter comments

4. Enter your assessment

5. Click on Submit

Note: In the procedure where the PhD candidate has compiled all training activities into a single document, there is only one record with the title ‘Final list’. As the first supervisor, the assessment of this document will have to take place outside Hora Finita.

Approval or rejection of the portfolio

Approval of the portfolio request: After you have approved the portfolio request, the graduate school will receive an email with the request to review the individual training activities in the portfolio.

Rejection of the portfolio request: If you have rejected the portfolio, the PhD candidate will be notified via email, after which they can adjust the training activities and resubmit the portfolio.
