How to submit the electronic version of your finalized PhD thesis to the library

Wageningen University & Research Library supports you with the dissemination of your PhD thesis. Your thesis will become part of the Wageningen University repository, providing full-text public access of all PhD-theses published in Wageningen since 1918 (http://library.wur.nl/wda).
In this manual you will find the instructions regarding the PhD thesis submission process via Hora Finita.
The electronic version of your finalized PhD thesis must be in PDF-format, and must include the propositions, a summary and the front and back covers, all in one PDF-file. According to the Doctoral Degree Regulations you must submit your finalized PhD thesis to the WUR Library at least two weeks before your public defence date via Hora Finita.
Note:
- You will receive a reminder three weeks before this date;
- A second reminder (in case you did not submit an electronic version) will be sent to you and your first supervisor two weeks before your public defence.
Submit you finalized PhD thesis in Hora Finita
To open the ‘Submit dissertation’ page, navigate to your PhD checklist and click ‘Open the page “library” in the "Submit thesis to the library of the University" section.
Or navigate to Graduation phase > Submit dissertation in the menu on your dashboard.
Please note that you cannot submit a thesis when your title page has not been formally approved yet.
On the submission page, the following data has to be inserted.
Field | Explanation |

Embargo | The library can put an embargo period on your PhD thesis. The embargo will be for a period of 1 year. The default is open, so only use this option if this is really considered needed. One month before the embargo-period is due to expire, we will email you and your first supervisor to ask if a one-time extension of one year is needed. |
Thesis | A PDF-file of the thesis that includes the propositions, a summary and the front and back covers, all in one PDF-file. |
Abstract | To improve the findability of your PhD-thesis through search engines on the internet it is required to add a short English layman abstract of max 500 words. |
Private email for future use | Please supply a future private email address where we can contact you in case you will no longer be affiliated with WUR. |
After completing the information click Send at the bottom of the page to submit your thesis to the library.
The Library will check your thesis on some formal criteria. If the submitted data is not complete or in order, you’ll receive an email in which you are notified that your thesis has been rejected, including the reason for rejection. You can correct this in the PDF or in Hora Finita and re-submit your thesis.
When the Library has accepted your thesis, you will receive a notification by email. This notification contains a direct link to your thesis in the Library’s repository. This link is valid from your graduation date onwards.
Information regarding DOI
You will be automatically assigned a DOI when the registration of your PhD project in Hora Finita has been finalized. You can find this DOI in the email that you receive when your opponents have been approved. Alternatively you can find your DOI in the form that appears when you click the “Submit thesis to the library of the University” option in your Hora Finita PhD checklist.
