Rules, guidelines, deadlines, common problems regarding (dis-)enrolment
Deadlines
Students can enrol and dis-enrol in Osiris for a course or an exam. Also the secretariat can do this for the student in Osiris Basis. Per period there are two deadlines:
- Deadline courses:
Enrolment for a course closes in general four weeks before the start of the period (i.e. midnight between Sunday and Monday). If a course has a waiting list (course with a maximum number of participants - manual Max courses), the deadline is the same, but students can only get priority in placement when they register one week earlier. - Deadline exams:
Enrolment for an exam closes in the long periods (1, 2, 5 and 6) at the end of week 3 (i.e. midnight between Sunday and Monday) and in the short periods (3 and 4) at the end of week 2 (i.e. midnight between Sunday and Monday).
Resit periods have their own specific deadline, check the WUR-site Academic Year for the most recent dates. The registration for the summer resits (RESIT C) will only open after the registrations for the February resits (RESIT A) have closed.

Enrolment
When can students register themselves?
Deadline courses: Students can enrol for a course until the deadline (see above: A).
This automatically results in enrolment for the first exam moment (in the same period)
If a course has a waiting list (course with a maximum number of participants - manual Max courses), the deadline is one week before that.
Still students may enrol until 4 weeks before. However, after the 5-weeks deadline, priority rules will not be applied. See manual: How to process the enrolment of a course with a maximum?
Deadline exams: A student can enrol for a separate interim examination (in Osiris: "Test"), for instance if they want to take a re-exam. A student can enrol for an exam until the deadline for exams (See above: A). See WUR-site Academic Year.
Deadline resit periods: Resit periods have their own specific deadline, check the WUR-site Academic Year for the most recent dates. The registration for the summer resits (RESIT 2) will only open after the registrations for the February resits (RESIT 1) have closed.
Furthermore, the student can enrol for a maximum of 15 ECTS in one period. If a student asks the secretariat to enrol for a course because he has already 15 ECTS, the chair group has to register the student. See: How to enrol a student in a course - via course search?
So when could a student be enroled in Osiris Basis (after admission by the course coordinator)?
If the student does not create an overlap in his program and one of the following scenario's apply:
- If a student has exceeded the registration deadline (see above for deadlines)
- Enrolment for the test is necessary if the exam is held in ANS, or if the student wants to use a facility. If this is not the case, each student without registration for the test can still be registered in Osiris, only if that is done before the grade entry deadline (after the exam moment).
- If a student wants to take more points than 15 ECTS in one period (course coordinators MUST allow this)
- If the student enrols in a masters program in February and wants to take period 4 courses
- In case of an Exchange student who starts in period 3, 4 or 5
If you enrol a student in Osiris Basis for a course, this automatically results in enrolment for the first exam moment (in the same period). Also, the student will receive an automatic e-mail, confirming his enrolment.
In all cases where the student cannot do it himself, the student must contact the course coordinator. The course coordinator has the authority to determine whether the student can still participate in the course. The course coordinator is not necessarily obliged to admit students from scenarios 1. In case of scenario 3, the student is unable to enrol himself, as the enrolment at the university is often not completed on time.
Withdraw enrolment
When can a student dis-enrol themselves?
Courses: Students can dis-enrol themselves for a course until the respective registration deadline for (see above: A).
Exams: Students can dis-enrol themselves for an exam until the respective registration deadline for (see above: B).
When can students be dis-enroled in Osiris Basis?
Courses: After the registration deadline, but before the deadline for exams (see above: B), by sending an email to the course coordinator, who in turn sends this request to the chair group secretary. MIND YOU: if the student has already finished parts of the assessment, or received partial grades, the student does NOT have the right to be dis-enroled and should receive a NOGRADE or INCOMPL (see Consequences...)
Exam: Until the same registration deadline as students have for exam (see above: B), the student can be dis-enroled from the exam (note: so no longer than the student themselves). This means that as WU-employee you never dis-enrol a student for an exam.
ATTENTION: in both cases, the student CAN be dis-enroled in Osiris Basis at a later moment, but this is NOT allowed (see below)
Consequences of withdrawing a course / exam:
A student who dis-enrols latest week 3 in 8-week periods, or week 2 in 4-week periods, and has NOT yet obtained a partial grade or completed another part of the course, has the right to be completely dis-enroled and should therefore not receive a result for the course such as NOGRADE or INCOMPL (see Education and Examination Regulations).
After the deadline, or when a part of the assessment (as described in the study handbook) has been completed, the student can indicate the wish to withdraw (and will discontinue the course), but should NOT be dis-enroled and must receive a NOGRADE (no chair group reimbursement) or INCOMPL (chair group reimbursement) as a result (see also: How to use result grade codes?).
ATTENTION: It is important to apply this rule exactly as above, otherwise problems will arise with regard to the "Harde Knip"-legislation for both the student and the university!

Course without exam, but with test enrolment?
In Osiris, a student can register for just an exam, even if the course does not have an exam at all (e.g. excursions or courses consisting only of lectures). In Osiris each course has a 'Test'. If you (or a colleague of you) give(s) such a course, you may encounter students who have only registered for the 'test' of your course. Common problems
- Error message: Student will exceed the maximum number of points this period.
- Meaning: If you enrol the student now, it will exceed the maximum 15 ECTS that a student is allowed to do per period. Sometimes this means that the student wants to do more than three courses in a period, or wants to combine his course with a thesis or internship. A coordinator MUST enrol the student, if the student requests this before the registration deadline. If the student is too late, the coordinator can decide otherwise.

"I want to enrol a student, but every time I do that, the student ends up on the waiting list for the course"
- For courses with a waiting list, a maximum, the registration is different. Even if you, as a WUR employee, register the student normally, they will be placed on the waiting list. You must then actually add the student to your course from the waiting list.
